Why Should We Hire an Event Planner?

Planning an event takes a lot of time and attention to details, averaging 12 hours per week-- even more for the weeks prior to an event.
Caribb’events knows the importance of a great event, and it is our job to create an event that will wow your attendees from start to finish, leaving them excited to attend your events for years to come. We work with clients on creating an event concept and purpose, maximizing the events effectiveness, designing a budget, choosing the right location, branding your event and managing the needs of the guests, as well as those of the client.

How much will it cost?

Each event is unique, as is each client, so costs will vary based on your needs. Caribb’events works within your budget, allowing you to create a memorable enjoyable and a professionally run event. With our relationships we can usually negotiate prices low enough that costs to you remains with in your budget, rather than in addition to it. Caribb’events can also be contracted by the hour. You will undoubtedly recover these fees with the advice, contracts and skills that will provide you with more or better service.

The Event is already planned, can Caribb’events assist us?

Yes, Caribb’events & Production can assist you with the finalization of the details, and be on-site to ensure that the event goes smoothly. While these services might appear to cost more than having Caribb’events & Production involved from the beginning, the expertise that we can offer will still save you money and time in the end.

When should we retain you?

The earlier the better. That way, we can use our experience to help you shape your program in ways that can save you money and guarantee a more successful event. Our experience with venue selection, program design, audience definition, sponsor identification and development of marketing strategies can prove invaluable to the client.

Can you help us at the idea stage? 

Yes, we often assist clients with initial brainstorming and conceptualizing.  We sometimes do this through a small start-up contract in which we facilitate the development of a program, prepare a budget and planning timeline, confirm a venue and help position the event to attract participants and sponsors.  In some cases, this initial work helps to focus the client's thinking.

How is the weather in Riviera Maya?

The winters are generally sunny and mild. It starts getting warmer in March. June can be rainy. July - August are usually hot and humid. Traditionally September and October have the highest risk of hurricanes (officially the Caribbean storm season is June-November).

What about Mexico’s Health Aid and Issues?

You are unlikely to encounter any serious diseases in Mexico. No vaccinations are required to enter Mexico. The largest concern that most people have when traveling to Mexico is if it is safe to eat and drink. Most restaurants located in the tourist areas disinfect and/or use purified water to clean fruits and vegetables. These establishments also use purified water to make ice and drinks.

What about crime in Mexico?

For the most part, Quintana Roo has a lower incidence of crime than any major city in the US. Even with a predominately impoverished population, violent crime and armed robbery are virtually non-existent. We recomend the following:

  • Lock up your accommodation when you leave it.
  • Lock up areas of your vacation rental that are not in use even when you are there, so you don't forget.
  • If your accommodation has a security safe use it.
  • Leave expensive jewelry at home.
  • Don't leave expensive cameras and computers lying around in plain sight unattended.
  • When taking day trips to beaches and points of interest, take what you need with you and don't leave expensive items in the vehicle in full view.
  • Don't think things locked in the trunk are safe.
  • Generally, take what you need on vacation and leave the rest at home.
  • When going to any foreign country check with your insurance agent before your trip about coverage for losses while on vacation.
